Diploma/Certificate Replacements

In response to the current Coronavirus (COVID-19) pandemic, West Virginia University is currently unable to allow graduates to pick up diplomas being held per the retention policy. If a financial hold has recently been resolved on your account and your diploma is now eligible for release, please email your updated mailing address to Registrar@mail.wvu.edu so we can assist in releasing your diploma via USPS mail if eligible.


Replacement Request and Costs

Once your degree has been posted and you have already received your original diploma/certificate, you may order a replacement diploma if needed. Orders typically take 4-6 weeks after the paperwork has been received and processed. Replacement diplomas/certificates will include in approximately size 8-9 font the word “REPLACEMENT” centered at the bottom of the diploma/certificate. Also, signatures on the diploma/certificate will be updated to reflect those individuals currently in office as well as the current title of the college.

Replacement requests due to a name change (legal or preferred names accepted) - $25.00 per diploma/certificate.

Replacement requests for an additional diploma copy or due to a lost or damaged diploma - $75.00 per diploma/certificate.

Expedited replacement requests are available upon request for additional UPS shipping charges and an expedited service fee.  Please contact our office directly at Registrar@mail.wvu.edu with your shipping address for shipping calculations and an exact expedited price total.

Fees may be waived for diplomas/certificates that are deemed missing or damaged in transit by the postal service, and are promptly reported to our office by the graduate within 4 months of a student’s degree conferral date.  Please contact our office directly at Registrar@mail.wvu.edu so we can investigate the status of your diploma.

PDF/Electronic copies of diplomas and certificates are not currently available at West Virginia University.

How To Order Replacement Diploma

You will need to mail a cashier’s check or money order written out to “West Virginia University” and a completed Replacement Diploma/Certificate Form for each diploma to:

Diploma Retention Policy

Diplomas retained by or returned to the Office of the University Registrar will be held for two years. This includes diplomas that are retained in the office for financial holds, have been returned to sender, or shipped to the office for pick up. After two years of the conferral date, any request for a diploma by the student will incur fees and fall under all policies associated with ordering a replacement diploma.
